The agreement between AQcredix and the hospital or professional using it.

1. Who we are
AQcredix ("we", "us", "the platform") is operated by AQcredix (proprietor: Dr S. G. Santhoshkumar), a sole proprietorship, registered at Thoraipakkam, Chennai, Tamil Nadu, India. Not registered for GST at present; GST registration becomes mandatory only above the turnover threshold..

2. What AQcredix is — and what it is not
AQcredix is a software tool that helps a hospital organise its NABH accreditation work: browsing standards, scheduling committee meetings and recurring obligations, maintaining an equipment and licence register, recording rounds and audits, and tracking findings to closure.
AQcredix is not an accrediting body. We are not affiliated with, endorsed by, or acting on behalf of NABH, QCI, JCI, ISQua or any accreditation or certification organisation. Using this platform does not confer accreditation, does not guarantee accreditation, and does not guarantee any assessment outcome.
AQcredix does not provide clinical, legal or regulatory advice. Explanatory content, assessor guidance and gap descriptions represent our professional interpretation. The published NABH standard remains the sole authority. Clinical decisions remain the responsibility of the treating clinician, and compliance decisions remain the responsibility of the hospital.
3. Accounts
- An account is personal. You are responsible for keeping your password confidential and for everything done under your account.
- Accounts must not be shared. Records in this platform are attributed to the person who created them, and a shared account destroys that attribution — which is the part an assessor relies on.
- You must be authorised by your organisation to enter its data.
- You must tell us promptly if you believe an account has been compromised.
4. Subscriptions and payment
- Subscriptions are per hospital or organisation. Current plans and prices are shown in the workspace.
- Payment is by UPI and Razorpay. Where payment is made by UPI with a reference number, access is granted after we verify the payment manually, which may take up to 2 working days.
- Subscriptions run for the stated period and do not renew automatically unless stated at the point of purchase.
- Taxes are charged where applicable.
Free trial
New subscribers may start a 7-day free trial. Setting up the trial registers a payment mandate, but nothing is charged during it. You may cancel at any point in those seven days from the workspace and no payment will be taken.
If you do not cancel, the subscription begins automatically at the end of the trial and the first payment is taken then. In line with the Reserve Bank of India’s e-mandate framework, you will receive a notification at least 24 hours before any debit, with the amount and date and an option to opt out of that payment. You will therefore always be told before money is taken, and never charged without warning.
Refunds
Payments are not refundable once taken. The trial exists so that the decision is made before any money changes hands: seven days is enough to enter real data and judge whether the platform suits your hospital, and we would rather you cancel during the trial than pay and regret it.
This means a subscription cannot be refunded because your hospital later changed priorities, reorganised, decided not to pursue accreditation this cycle, or wanted features we do not offer. Those are reasons to cancel before the next renewal, not grounds for a refund of a period already paid for.
Where the fault is ours, that is different. If a defect in the platform prevents you from using what you paid for, tell us. We will investigate, and where the problem is genuinely on our side and cannot be resolved in reasonable time, we will discuss a refund or an extension of your term. We say this because a blanket refusal that ignores our own failures would not be fair, and would not stand.
Cancel at any time from the workspace. Cancelling stops the next payment; it does not refund the current period, and you keep access until that period ends.
If a subscription lapses
Your data is not deleted when a subscription ends. You keep the ability to sign in and export everything you have entered for at least 90 days after expiry, and we will tell you before anything is removed. The export button is in the product rather than behind a support request, so getting your records out never depends on us replying.
5. Your data
Your hospital's data belongs to your hospital. We claim no ownership of records you enter. You may export all of it at any time, in Excel and JSON, from the workspace — this is a deliberate feature, not a concession.

6. Acceptable use
You agree not to:
- enter identifiable patient information into free-text fields. The incident module is deliberately built without patient identifiers, and it should stay that way;
- attempt to access another organisation's data, or probe, scan or test the security of the platform without written permission;
- resell, sublicense or redistribute the platform or its standards content;
- use the platform to store anything unlawful.
7. Availability
We aim to keep AQcredix available but do not guarantee uninterrupted service. The platform depends on third parties (hosting, database, email) and may be unavailable during maintenance or because of a failure outside our control.
AQcredix must not be your only record. Export your data periodically. The export exists so that a failure on our side is an inconvenience rather than a loss.
8. Limitation of liability
To the extent permitted by law, our total liability arising from your use of AQcredix is limited to the fees you paid in the twelve months before the claim.
We are not liable for an assessment outcome, a non-conformity, a regulatory action, or any loss arising from a decision you made using this platform. The hospital remains responsible for its own compliance.
9. Ending the agreement
You may stop using AQcredix at any time and export your data first. We may suspend or end access if these terms are breached, if payment is not made, or if continuing would expose other users to risk — and, other than where the breach is serious, we will tell you first and give you a reasonable opportunity to put it right.
10. Changes
We may change these terms. Material changes will be notified in the workspace or by email at least 90 days before they take effect.
11. Governing law
These terms are governed by the laws of India. The courts at Chennai have exclusive jurisdiction.
